Sageflow approached us with a vision to create SkillFlow, a platform designed to connect mentors and mentees across the globe, helping individuals and organizations collaborate toward achieving their personal and professional goals. However, the client faced several operational hurdles that needed resolution.
SkillFlow is the product of Sageflow, and ConsultDSS is the user of SkillFlow —both developed & managed by Addweb. While the websites shared similar functionalities, they operated on different domains, leading to significant inefficiencies. The client’s main concern was the duplicated maintenance costs for both platforms, as each site required separate updates and ongoing management. This situation became financially burdensome, and the client sought a cost-effective solution to streamline operations and reduce overhead without sacrificing functionality.

As the world’s first-ever free and open mentoring network, SkillFlow eliminates barriers to mentorship, making it accessible to anyone, anywhere. Unlike ConsultDSS, which focuses exclusively on organizational consulting, SkillFlow offers a more inclusive approach that supports individuals and organizations across various industries and domains.

To tackle SkillFlow’s challenges and deliver a streamlined, practical solution, we followed a comprehensive approach centered on collaboration, strategic planning, and meticulous execution. We started by engaging in detailed discussions with the SkillFlow client to understand their unique business objectives, technical challenges, and vision for the future of their mentoring platform. This phase involved identifying critical pain points, such as the need for cost-efficient maintenance and a more cohesive user experience.
Through collaborative brainstorming sessions, we explored different pathways to achieve the client’s goals, focusing on reducing operational inefficiencies while maintaining platform flexibility and scalability. This process involved cross-functional teams, including design, development, and strategy, to ensure all aspects of the solution were considered. We developed a strategic project roadmap, breaking the process into manageable milestones. This roadmap prioritized tasks based on business impact, technical complexity, and user needs. A key part of our planning was designing a solution that could scale, ensuring long-term sustainability and efficiency.

The Solution
Crafting a unified, scalable platform to empower mentors and mentees worldwide.
To address SkillFlow’s challenges and meet its long-term objectives, we built a robust and scalable platform from the ground up. Our Drupal developers started by developing the entire website from scratch, ensuring the architecture was flexible, secure, and optimized for functionality and user experience. Our design team played a crucial role in the early stages, creating detailed mockups and wireframes to map out the user interface (UI) and user experience (UX), ensuring a seamless flow for mentors and mentees.
The score evaluation system is a vital feature of the platform, which allows mentees to receive performance feedback based on their activity and attempts. This provides valuable insights into the progress of the mentoring relationship, helping both parties track their growth. To facilitate continuous engagement, we integrated a chat functionality, enabling real-time communication between mentors and mentees and a video session feature for live, interactive mentoring sessions directly within the platform.
Recognizing the need for secure and efficient financial transactions, we integrated the Stripe payment gateway to seamlessly handle payments for paid mentoring sessions. In addition, we simplified user access by incorporating social media login options, allowing users to sign in via Facebook, Google, or LinkedIn, removing barriers to entry and making the registration process more convenient.
To enhance the matching process, Our Drupal development team developed a search API that allows mentors and mentees to quickly find relevant matches based on criteria such as skills, experience, and goals. We also created customizable email templates, ensuring users receive personalized, automated communication throughout their mentoring journey, including registration confirmations, session reminders, and progress updates.
We prioritized accessibility and usability by building a fully responsive website that works seamlessly across all devices, from desktop computers to smartphones. This ensures that users can access their mentoring sessions and resources wherever they are. We also implemented role-based access controls, providing mentors, mentees, and administrators with each appropriate level of access to the platform’s features.
An essential feature we added was the user-based timezone reflection, which ensures that all scheduling and session times are automatically adjusted according to the user’s local time zone. This prevents confusion when coordinating meetings across different regions. To streamline operations and reduce ongoing maintenance costs, we successfully combined SkillFlow and ConsultDSS into a single codebase, eliminating the need to maintain two separate platforms.
In addition to the core features, we implemented several advanced solutions to enhance the functionality of SkillFlow further, providing a highly tailored, scalable experience for both mentors and mentees. Below are some of the more complex solutions that helped streamline operations and provide deeper insights into user activity:
1. Multi-Tenant and Single-Tenant Profile Creation
We developed a flexible system to manage multi-tenant and single-tenant profile creation, allowing SkillFlow to scale across different organizational needs. Whether users are part of an individual account or an enterprise-level network, the platform can handle varying structures, ensuring tailored experiences and centralized control.
2. Custom Email Template Functionality
We integrated custom email templates based on user filters to ensure personalized communication. This allows SkillFlow to send dynamic, targeted messages to specific segments of users based on criteria such as subscription plans, mentor-mentee relationships, or session milestones. This level of personalization enhances engagement and improves the overall user experience.
3. Reports Management
We implemented a powerful reports management system, enabling administrators to generate detailed reports on various platform aspects. This system provides key insights into user activity, session data, performance evaluations, and other metrics that help optimize the mentorship process.
4. Custom Revisions Report for Role Changes
We built a custom revisions report to keep track of user role changes (e.g. when a mentee becomes a mentor). This feature records and reports all role changes within the platform, providing administrators with complete visibility into how users’ roles evolve, ensuring transparency, and maintaining data accuracy.
5. User Connection Management
We designed an efficient user connection management system, allowing mentors and mentees to track and manage their interactions and relationships. Users can easily view their active connections, session history, and ongoing communication, facilitating better relationship management and growth.
6. Personality and Skill-Based Matching (%) Calculation
One of the platform’s most advanced features is the % calculation system, which matches mentors and mentees based on compatibility, personality type, and skills. This matching algorithm calculates a percentage that reflects how well a mentor and mentee are likely to work together, ensuring a higher success rate for mentorship relationships.
7. Statistics Functionality
To help users and administrators track progress, we implemented statistics functionality that provides insights into key performance indicators (KPIs). These statistics help mentors and mentees assess progress toward their goals while giving admins high-level insights into platform activity and engagement.
8. Promo Code Functionality
We integrated promo code functionality into the platform to drive engagement and increase subscriptions. SkillFlow can now offer time-sensitive discounts or special access codes to attract new users or incentivize existing ones to upgrade their subscription plans, boosting user acquisition and retention. Finally, we continue to provide ongoing maintenance and support for both websites, ensuring they remain secure, optimized, and up-to-date as the platforms evolve and grow.
